Bundi Africa, operating under Bundi River Adventurers CC (registration number CK 89/029121/23), is in Namibia. The company’s offices are situated at 1 Friesland Street, Goedemoed, Durbanville 7550. For the purposes of these booking conditions, it will be referred to as “the company.”
Contract Arrangements & Deposits:
The Customer making the accommodation booking agrees to accept the terms of our booking conditions on behalf of all party members and will pay a deposit of 50% of the total amount. Please note that 20% of this booking cost is non-refundable. All individuals named or included in the booking will be referred to collectively as “the client” or “clients.” If the booking is made through a travel agent, all communication from the company will be directed to that agent, who will serve as the intermediary for the client. A contract between the company and the client will only be established once the company confirms the booking upon receipt of the required deposit payment.
Payment:
A deposit of 50% is required upon confirmation of your accommodation reservation. The remaining balance of the accommodation fare must be paid at least three weeks (21 days) prior to your arrival date. If this payment is not received, the Company may treat the booking as cancelled by the Client and, at its discretion and without notice, may re-book the vacancy. Chalet payments are charged per chalet, not per person, while camping bookings are made on a per-person basis. Non-refundable 20% deposit payments for camping members who can no longer join your group cannot be deducted from the outstanding balance. If you make a partial payment to cover the non-refundable deposits for cancelled camping members, your group will not be allowed to stay at our camp until the full payment is received. No refunds will be issued for unused services. The Company reserves the right to increase prices without notice in response to any unforeseen cost increases.
By booking accommodation with the company, the client agrees to hold Bundi Africa harmless and indemnify them against any losses, expenses, or damages (including attorney’s fees) that Bundi Africa may incur due to lawsuits or claims arising from property damage, fatalities, or injuries caused by the client’s own willful misconduct or general or gross negligence, failing to act with the care that a reasonable person would exercise in similar circumstances.
Cancellation by Client:
20% of the 50% deposit is non-refundable. Cancellations made 28 days or less before your arrival date are not eligible for a refund. Any cancellation must be submitted in writing by the person who made the booking and will take effect only once received by the Company. If you fail to arrive for your accommodation booking, arrive late, or leave before your stay is complete, no reimbursement will be issued. Cancelled or forfeited deposits are not transferable to the balance payments for non-cancelled members of your group or any other group. However, deposits may be carried over to new members who are substituting for the cancelled members’ accommodation within the group. If a client wishes to transfer their deposit to another person, it is the client’s responsibility to arrange and secure that replacement and to advise the Company accordingly.
Postponement of trips by Client:
Accommodation dates can be changed once without incurring an admin fee. After that, a 20% handling fee will apply for any additional date changes. To request a postponement, please send a WhatsApp to +27 71 684 2072 and email info@bundi.africa, including your booking reference and the name of the person who made the booking. This request must be made at least 48 hours before 2 PM on the arrival day to qualify for the 20% handling fee; otherwise, the full amount will be forfeited. Postponed accommodations can be rebooked at the original quoted price for up to two years from the date of postponement.
Cancellation by the Company:
The company reserves the right to cancel any accommodation booking if deemed necessary, including due to health or quarantine requirements at the border or camp. In the event of a cancellation, the client has the following options:
1. Rebook the same accommodation within one year from the original booking date at no additional cost, with no price increases.
2. Retain the deposit as credit for any services from the company for the next two years.
The company also reserves the right to cancel the accommodation booking under unforeseen circumstances that prevent it from providing the accommodation. In such cases, the company will refund the client all payments made or offer an alternative service of comparable standard.
Alterations to bookings:
While the company will make every effort to fulfil all accommodation arrangements as booked, reasonable changes may be made when necessary or advisable. In the event of a major change, clients will be notified through their agent or at their last known email address. The company reserves the right to modify accommodations if it is in the client’s best interest. The company will not be liable for any compensation if it must cancel or alter the accommodation booking due to circumstances beyond its control, including war, riots, civil unrest, industrial disputes, terrorist activities, natural disasters, pandemics, nuclear incidents, fires, adverse weather conditions, or other external factors.
Vouchers:
Vouchers issued by Bundi are non-refundable, cannot be redeemed for cash or resold, and no credit or change will be provided for unused portions. They must be redeemed through our official booking channels and are subject to availability. Once a booking is confirmed using a voucher, our standard cancellation and postponement policies apply. Vouchers can be used toward any eligible accommodation and/or offering at camp, subject to the terms outlined here, but cannot be applied to third-party services, merchandise, or food and beverage unless explicitly stated. They do not expire, offering flexibility to book at a later date; however, if redeemed for a future year, current rates at the time of booking will apply. Any cost exceeding the voucher value must be paid by the holder, and any remaining balance on lower-priced bookings will be forfeited. Vouchers are valid only for specific services provided by Bundi, including accommodations and/or rafting tours. Participation in rafting and outdoor activities involves inherent risks, and voucher redemption constitutes agreement to sign required indemnity and liability waiver forms, follow all safety instructions, and ensure all participants are medically fit and physically capable. Voucher holders must meet age, health, and skill requirements relevant to the chosen activity and are responsible for reviewing these prior to booking. In the event of weather-related disruptions, natural disasters, or other force majeure circumstances, Bundi reserves the right to reschedule affected bookings, though no refunds or voucher extensions will be granted. Vouchers may be used for group or private bookings but must be declared at the time of booking; once confirmed, the group leader assumes full responsibility for the booking, including any changes or cancellations, under our standard terms.
Authority at camp:
The decision of the Bundi Africa owner and employees is final regarding any matters that may endanger the safety of clients. The company is not responsible or liable for any client who engages in illegal or unlawful acts in any country visited. Such clients may be excluded from the tour without a refund of the accommodation fare. If the company deems a client unsuitable for accommodation, it may, at its sole discretion, cancel that client’s booking or deny access to the camp if their behaviour causes inconvenience or annoyance to others.
Health:
The client confirms that they are in good health. Any client with a medical condition or illness that may affect others must disclose the nature of that condition at the time of booking. Clients are responsible for bringing their own medication or treatment needed during their stay. A medical statement from a GP may be required to confirm fitness to travel. If the company deems a client unsuitable, it reserves the right to cancel that client’s booking or request their departure from the premises if their behaviour causes inconvenience or annoyance to others or may affect safety at the premises.
Baggage and belongings:
All baggage and personal belongings are the client’s responsibility, and the company cannot be held liable for any loss or damage to them. The company will assist in returning items left behind by clients whenever possible.
Travel Documentation:
It is the client’s responsibility to ensure they have a valid passport, visa permits, vaccinations, and any other required medical certificates for crossing the border when traveling from outside Namibia. The company is not responsible for changes in visa regulations or requirements and cannot be held liable for the client’s failure to obtain the necessary documents.
Personal Insurance:
We recommend that you obtain travel insurance that covers force majeure events (such as pandemic-related cancellations), personal accidents, medical expenses, theft of personal items, baggage loss, and loss of payment due to cancellation. Additionally, please ensure that your international travel insurance is activated on your personal medical plan for any medical emergencies.
Company Insurance:
Please refer to the previous point regarding personal insurance. The company does not provide any insurance for your accommodation stay. None of your camera equipment, vehicle, trailer, or camping gear is covered under our company insurance. Therefore, any damage to or loss of these items cannot be claimed through our insurance.
Client Register:
All clients will be required to sign a Client register upon arrival.
Liability:
Clients’ bookings are accepted with the understanding that they recognize the inherent risks associated with travel and undertake the services offered on this website at their own risk. While every effort is made to ensure client safety, the company is not responsible for any death, injury, or loss that may occur for any reason. The client, along with their dependents, heirs, executors, administrators, or assigns, agrees to indemnify and hold harmless the company, its members, employees, representatives, organizers, helpers, and agents from any claims of any kind and from any liability for delay, loss, damage, injury, illness, or death arising from events related to or occurring during the tour.
Information:
Information provided in brochures, leaflets, websites, social media, and advertising materials is offered in good faith by the company and is based on the most current information available at the time of publication. The company reserves the right to change any facilities or services described in these materials without liability for compensation or refunds. Additionally, the company may increase fees due to changes in tariffs, fuel costs, gas reserves, camping fees, or fluctuations in exchange rates. Clients should be aware that authorized couriers, service providers, and representatives may take photographs and videos of clients while on the premises or during tours or their stay at the premises. The company reserves the right to use such material in brochures, leaflets, websites, social media, and advertising materials without needing further consent. The company may also utilize comments from client questionnaires or complimentary letters in future promotional literature. Any media posted on social media by clients that links or features the company, staff, or camp, directly or indirectly, will be available for the company to use on any media platform without requiring additional consent.
Jurisdiction and Law:
This contract shall be governed by and interpreted in accordance with the laws of the Republic of South Africa.
Severability:
If any part, term, or provision of this contract is found to be illegal or unenforceable, it will not affect the validity or enforceability of the remaining provisions. Additionally, if any covenants are deemed illegal or unenforceable due to their scale, extent, or duration, they will remain valid and enforceable to the extent permitted by law.
